Download photo booth pictures via QR code: live preview for public events
August 1, 2026 • 5 min read
You run a photo booth at a public event. Strangers take photos – but how do they get their picture? With the EventPics Recent Preview Mode, guests see their freshly taken photos instantly on a screen, scan the QR code and download their picture in original quality straight to their phone – no app, no registration, privacy-friendly.
The problem: photo booth pictures never reach the guests
Classic photo booths at public events – street festivals, trade fairs, corporate events, concerts – share a fundamental problem: the pictures end up on the operator’s PC and often never really reach the people in them. There is a USB stick at the end of the event, a messy cloud folder, or the pictures simply vanish into the organizer’s archive.
On top of that comes privacy: at a public event, nobody wants photos of strangers sitting openly on a screen for hours. Pictures should be available – but for a limited time and for the people in them.
That is exactly what the Recent Preview Mode is for.
What is the Recent Preview Mode?
The Recent Preview Mode is a special display mode in EventPics. It is started by the admin or event creator – for example on a tablet or PC placed next to the photo booth – and shows only photos and videos uploaded within an adjustable time window.
Pictures older than the chosen window disappear from the display automatically. The window is freely adjustable – 5, 10 or 20 minutes, for example. So only the very latest is ever on screen: the photo just taken, not the picture from an hour ago.

Download in original quality
Preview and download right on the phone – one tap is enough.
How the QR code download works
The heart of the Recent Preview Mode is the individual QR code per picture. Every photo and video shown in the mode has its own QR code. For the guest, the flow could not be simpler:
-
Find the picture on the screen
The guest sees their freshly taken photo on the tablet or screen next to the booth. -
Scan the QR code
Every picture shows its own QR code right next to it. The guest simply opens their phone camera and scans it. -
The download page opens automatically
The phone opens a page with a preview of the picture. No app needed, no registration, no account. -
Download in original quality
With a single tap the guest downloads their photo in full original resolution – straight into the phone’s photo app.
The picture lands on the guest’s phone. Done. The organizer forwards nothing, sends no emails, hands out no USB sticks.
Why this matters so much at public events
Privacy through the time window
At a public event – street festival, trade fair, concert, company open day – privacy is not a luxury but a duty. Photos of people should not sit visibly on a screen for hours. The time window solves that elegantly: once the set time has passed, the picture disappears from the display automatically. You decide whether that happens after 5, 10 or 20 minutes.
No confusion, no searching
With classic solutions, guests have to hunt for their picture in a long gallery – often without knowing the file name or the exact time it was taken. The Recent Preview Mode only ever shows the newest pictures. The guest’s photo is guaranteed to be right at the top.
No effort for the organizer
The mode runs fully automatically. Once started, it shows new pictures as they are uploaded and hides old ones automatically. The organizer never has to intervene during the event.
PIN protection for exiting
To prevent the mode from being ended accidentally or without permission, a 4-digit PIN can be set at start. It is required to exit the mode – practical when the tablet stands in a public spot.
Typical use cases
Photo booth at a street festival or fair
Strangers take photos at the booth. The Recent Preview Mode runs on a tablet next to it. Everyone sees their photo instantly, scans the QR code and has the picture on their phone – in seconds, no waiting, no registration. Pictures leave the display after 10 minutes, new ones appear right at the top.
Trade fair or company open day
At a booth with a photo station, visitors can download their picture immediately. The photo can carry a branded company layout – and the guest takes it home. Not a business card, but a personal photo as a lasting memory of the stand. The display stays privacy-friendly because pictures disappear automatically after the set window.
Concert or festival
Photo stations at festivals are popular – but getting the pictures to people is usually clumsy. With the Recent Preview Mode and QR codes the problem is solved: scan, download, done. The picture is on the phone before the next song starts.
Wedding with a mixed crowd
The mode also shines at private events: instead of waiting until after the event, guests see their booth photos immediately and download them on the spot. Especially older guests who do not want to install an app benefit from the simple QR code flow.
Combining it with the EventPics Folder Uploader
The Recent Preview Mode shows its full strength combined with the EventPics Folder Uploader. The interplay works like this:
| Step | What happens | Who acts |
|---|---|---|
| 1 | The photo booth takes a photo and saves it to the local folder | Booth software (automatic) |
| 2 | The Folder Uploader detects the new picture and uploads it to the EventPics album | EventPics Folder Uploader (automatic) |
| 3 | The Recent Preview Mode shows the picture instantly on the tablet/screen | EventPics (automatic) |
| 4 | The guest scans the QR code and downloads the picture to their phone | Guest (one scan, one tap) |
Best of all: the photo booth software needs no changes whatsoever. Budget DIY build or professional system – the Folder Uploader works with any device that saves pictures to a folder. The Recent Preview Mode takes care of display and download.
